The Regional Booking Service

May 2016:

Now is the perfect time to be doing a ‘spring clean’ of your Bookeasy listing!

Check list of what you need to check for:

-          Images & descriptions are up-to-date

-          Do you offer free Wi-Fi? Ensure this is included in your description

-          Rates and minimum night stays are set for Summer 2017 – we are beginning to receive enquiries for December and January already.

-          Specials – why not offer incentives for people to stay over winter

*Again, we cannot stress enough the importance of having your rates and minimum night stays correct over Summer. Just because you set them for last year does not mean they are set for the upcoming year. We will not be cancelling bookings because you have not updated these.

MPRT operates an online booking service which is managed by the staff at the Mornington Peninsula Visitor Information Centre.

The Regional Booking Service uses Bookeasy, which is hosted on MPRT’s website www.visitmorningtonpeninsula.org. Industry partners who operate accommodation, activities, attractions, tours or events can join the Regional Booking Service at no additional set up cost. The Regional Booking Service offers visitors real-time availability and rates, allowing them to book and pay immediately. The commission payable on bookings made through the Regional Booking Service is 10% of the total value of the booking. Whilst on average, 60% of bookings are made via the website, a significant amount of bookings are also made over the phone or in person with booking staff at the Mornington Peninsula Visitor Information Centre.

Eligibility for participation:

 • You are an Industry Partner with MPRT (or applying to become)

 • Your business must have an ABN or ACN. If you do not have either you will need to supply your Tax File Number

 • You agree to pay the 10% commission fee on all bookings made by the service

 • For accommodation - your property must be available year round for holiday letting (not only during specific dates)

 • Your accommodation, activity, attraction, tour or event tickets must be able to be instantly bookable online

BOOKEASY CUSTOMER SUPPORT:

To ensure that Bookeasy continues to deliver quality and timeliness of service for Bookeasy Visitor information Centre support queries, ALL operator support queries must be directed to the operators Bookeasy Mothership.

Bookeasy has increasingly received a large number of calls from both Accommodation operators and Bookeasy booking centre regarding channel managers connecting to Bookeasy. Accommodation providers that wish to use a channel manager do so at their own accountability. All Channel manager queries should always be directed to the Channel Manager who is updating Bookeasy. Bookeasy Support is always willing to assist Channel Managers directly in their investigations.

IMPORTANT FOR MPRT PARTNERS USING BOOKEASY: BOOKEASY are not taking direct calls from operators.  They will direct you to contact your "mothership".  The "mothership" is the visitor infomartion centre where your listing was initially created.  It is easy to find out who is your mothership by clicking on "online booking control" under the General Details tab.  If you wish to change your mothership to the Mornington Peninsula Visitor Information Centre so that we can offer phone support, please email this request to info@tourism.mornpen.vic.gov.au stating that this is what you want to do.

UPDATING YOUR RATES - YOUR RESPONSIBILITY:

Visitors book accommodation online at all hours of the day and night.  They also book some of their holidays well in advance (more than 12 months), therefore it’s important to ensure that your rates and availability (across all websites, not just www.visitmorningtonpeninsula.org) are all up to date.

The Peninsula Visitor Centre along with each accommodation provider has a legal responsibility according to Consumer Affairs (see attached guide) to ensure that all information displayed on any website and information provided by our service is accurate and honoured. We are therefore unable to cancel or amend prices or cancel bookings once they have been booked and paid for.

Please remember that is your responsibility to update your availability and rates in Bookeasy/ResOnline/Room Manager, and keep in mind that visitors have the ability to view availability and book up to 2 years in advance from today’s date.

See attached for instructions on how to update your rates in Bookeasy/Room Manager, however if you need any assistance the Booking Services Team at the Dromana Visitor Centre are here to help you through the process.

ACCOMMODATION BOOKING SERVICE TRAINING:

The MPRT Visitor Information Services team has been busy working with MPRT partner accommodation businesses that are using the MPRT Booking Service facility to upskill and upgrade their Booking Service functionality.

Over the last few months, 40% of MPRT accommodation operators have received intensive one on one training sessions with the MPRT booking team in Room Manager and Resonline.  These systems are enabling businesses to sell inventory online whilst managing their rooms via one console. Operators are already reaping the benefits of increased occupancy and are receiving bookings from a number of different websites.

Visitor Centre Booking Staff recently visited the hub that is Bookeasy/Room Manager and Resonline in QLD.  As well as receiving further training in these systems - that will ultimately benefit MPT members, they were able to raise common issues with the support team and discuss ways of ensuring a smoother transition for our operators.  Room Manager also announced that they are implementing online tutorials for Room Manager in the not too distant future and we would encourage operators to utilise these.

Anyone interested in finding about further training or would like to learn how to make the system work better for them, please contact MPRT to arrange a further one on one information and training session.
